Assign courses and resources in the LifeLabs Learning Platform

Want to reinforce the workshops your learners are attending? Time to assign some learning!

Courses and resources are great tools for learners to refresh their memory or lean on for just-in-time support.

Whether you'd like to send specific individuals a module refresher, or get your team ready before a company off site with targeted content, one-time assignments allow you to send your entire team or a smaller cohort one or more modules for them to complete ad hoc.

Head to the Dashboard page of your Admin Hub, and click the + Add Training button.

Choose the course for which you would like to assign.

Input a Campaign name in the text box provided. Note: Your campaign name will be visible to learners.

Select the content you would like to assign by clicking the checkboxes. You can preview all of the content before assignment and can filter by "Core Learning" or "Resource." Core Learning are our on-demand courses. Resources are more bite-size modules which contain things like worksheets, key points, templates, sample skill videos and more!

You will then get to a screen that looks like this:

Update the assignment settings by clicking into each one:

FieldFunctionDefault settingHow to update the setting
Training DateThe date your learners will receive the assignment notification and the assignment shows up on their learning Dashboard.

Repeat annually

Date = tomorrow

Use the dropdown menu and date selector.
Manage LearnersEnable/disable auto-enroll function and select which team members to enroll in this assignment.

Select between these two options:

  1. Ongoing Auto-Enroll Rules: Select this if you’d like to automate enrollment for new and existing team members over time. When you add new learners to the LifeLabs platform (via CSV or HRIS), if they meet your auto-enroll criteria, they will get new training assigned the business day after they are created as a learner.

  2. One-Time Population: Select this if you’d like to choose a distinct group of team members for a single training campaign. New hires, team changes, etc. will not be reflected in this list.
All team members enrolled + auto-enroll enabled.Manually include/exclude learners from the full list of team members by clicking 'view list', upload a CSV with the emails of learners you want to enroll, or use filters to enroll learners based on Role and/or Location.

If you disable auto-enroll, you can still add new learners after the Training date by uploading a new CSV or updating your filter settings.
New Learners/Role ChangesThis setting allows you to set a buffer period for new learners who may become eligible for training just before your next annual training date. You can choose to always release training immediately, or to set a ‘deferral period’ of a number of months.
This setting is only available if Training Date is set to recur and/or auto-enroll is enabled in Manage Learners.
Defer, 3 monthsToggle 'Defer' or 'Release immediately' and use the dropdown menu to select deferral settings, if applicable.
Use the visual display to understand what these settings look like in practice.
Example: If your annual training date is July 1, and you set a two-month deferral period, new hires who join in May and June will not be trained automatically. Their training will be put on hold until the upcoming annual training date in July.
TimerOptionally set a minimum time requirement for your training. This means that learners will not be able to progress until they reached the time requirement for your training.

Default time requirements are listed for each content block when selecting the assigned content.
25%Select an option from the list.
Example: An assignment includes 2 content modules, 1 with a time requirement of 30 mins and 1 with a time requirement of 10 mins, so the total expected time for this assignment is 40 mins. If an admin selects 25% option, then learners will be required to spend [at least] 7.5 mins to complete the 30 min module and 2.5 mins to complete the 10 min module.
DeadlineThe date the assignment is due to be completed.

Dates apply to all assigned modules and cannot be set individually for each module.
90 days

Can be set from 1 day up to 180 days (~6 mo) after Training date.

NotificationsThis setting enables automated outstanding training reminders. Email example here.

Reminders are sent based on the cadence (weekly, bi-weekly) and delivery method (email, slack, both) you set in your Notifications settings (Settings>Notifications).
EnabledToggle on or off.

Click 'Schedule Training' button in the bottom right. Learners will receive an email notification - New Assigned Course/Resource (“Module”)

Some things to keep in mind:

  1. Details can be viewed on your dashboard page.
  2. No new training notifications will go out to your team until your assignment launch date.
  3. If you choose an assignment to launch the same day that you’re setting up the training, learners are typically able to access training in their Learning Centers within ~15 minutes, and will be notified the next day.
  4. You can continue to edit your training date, learners assigned, and other selections as needed until your assignment launch date comes.

Boom! Your training assignment is set!
